Instruction for Presenters: Oral Parallel Sessions, Posters, Workshops, Videos and Exhibits

Below you will find detailed information about the requirements for your oral parallel session, poster, workshop, video and exhibit.

Submission
All contributions are to be uploaded via https://www.4gfmd2018.org/login.aspx before Saturday December 8th, 23.59 CET,to allow the organizers to ensure compliance with the respective requirements. Your file name should have the following format: [surname of presenting author].[reference ID], e.g. 25.Smith or 172.Jones. Your reference number can be found in the e-mail received on November 21st 2018.

Oral Parallel Sessions

  • Each oral presentation in the Parallel Sessions will be allowed a maximum of 8 minutes, and 2 minutes will be dedicated to questions and answers. Please limit your presentation to no more than 12 slides (PowerPoint), including disclosure and title, while ensuring that the content is legible in a reasonably-sized venue.
  • Presentations may not contain any commercial/industry logos (as per WHO regulations).
  • All presentations must include a Disclosure indicating source/s of funding and any conflicts of interest, if applicable.
  • Please ensure that your presentation is uploaded using your login information via https://www.4gfmd2018.org/login.aspx before Saturday 8th December, 23.59 CET,to allow the organizers to ensure compliance with these requirements and to have the presentations uploaded in time for the Forum.
  • All presentations are to be sent in PowerPoint format with a file name in the following format: [surname of presenting author].[reference ID], e.g. 25.Smith or 172.Jones. Please ensure you use [version ppt] or a newer version.

Poster

Posters will be displayed on Thursday, December 13th, Friday, December 14th or Saturday, December 15th, all day long and presenters should be available from 13:45 to 14:30.

The posters will be kindly printed for you by the local organizing committee in the following format:

Therefore, please use the template provided in PPTX on: LINK TO IMAGE OF POWER POINT ATTACHED

  • Posters may not contain any commercial/industry logos (as per WHO regulations), only contact information.
  • Your poster should include your reference ID on the upper right corner.
  • All posters must include a Disclosure indicating source/s of funding and any conflicts of interest, if applicable.
  • You are responsible for ensuring the poster sent in digitally, is of sufficient quality.
  • The poster presentation is intended to communicate information rapidly. It is supposed to represent a well-designed, eye-catching and engaging display of information.
  • Therefore, information must be presented in an easy-to-comprehend fashion and should be readable from approx. 1 meter away.
  • Your printed poster will be available for pick-up from Wednesday December 12th onwards, at the registration desk at the venue.
  • You are responsible for putting up your poster on the day of your presentation, before 09:00. You will be provided with pins and/or tape.
  • On the day where your poster will be displayed, you are kindly requested to be at your poster from 13:45 to 14:30 to present it as needed.
  • At the end of the day of your presentation, you are kindly requested to take down the poster at 18:00. If you do not take down the poster yourself, it will be removed.

The poster PDF should be uploaded via https://www.4gfmd2018.org/login.aspx before Monday 3rd December, 23.59 CET. Please make use of the template provided.

  • All posters should be send as a PDF or PPTX, with a file name in the following format: [poster number].[author last name], e.g. 25.Smith.ppt or 172.Jones.pdf
  • Please upload your poster file in the Forum system by 3 December 2018 to allow for local printing of your poster.
  • (i.e. your poster will be print ready at Venue without any charge. However submissions beyond 3rd December will not be entertained for this facility).

Workshops

  • In case you have co-authors, please coordinate with them to prepare the workshop and its related materials.
  • Please note that any materials to be distributed at the workshops should be provided by the respective workshop organizers.
  • All presentations must include a Disclosure indicating source/s of funding and any conflicts of interest, if applicable.
  • Presentations may not contain any commercial/industry logos (as per WHO regulations).

Please ensure that your presentation is uploaded via https://www.4gfmd2018.org/login.aspx before Saturday 8th December, 23.59 CET, to allow the organizers to ensure compliance with these requirements and to have the presentations uploaded in time for the Forum.

Videos

  • All videos must include a Disclosure indicating source/s of funding and any conflicts of interest, if applicable.
  • Video’s may not contain any commercial/industry logos (as per WHO regulations).
  • Video’s should have a maximum length of 3 minutes.
  • Please upload your video to YouTube. The video title has to contain your reference number.

Please ensure you provide us with a weblink to your video via https://www.4gfmd2018.org/login.aspx before Saturday 8th of December, 23.59 CET, to allow the organizers to ensure compliance with these requirements and to have the videos uploaded in time for the Forum.

Exhibits

There will be an exhibit area for Member States, NGOs and universities. Please note the following information about the exhibition:
  • NO Commercial/Industry Branding of any kind is allowed, as per WHO regulations. Logos from non-commercial entities, such as universities and NGOs, are acceptable. Company brochures, if they are to be displayed, will need to be printed without any commercial logos and branding on devices will need to be covered.
  • Exhibition space consists of one table (1.8 m by 0.6 m)
  • It is important that you or another designated representative be present at your table during the exhibit times (coffee breaks and lunch).
